Analysis

The primary task of facility management software is to support the authorized users and decision-making with up-to-date, precise data and with easily comprehensible reports. Trend reports and KPI (Key Performance Indicator) indicators are produced from the latest data to support your daily work and high quality services by keeping costs at a low level.

The archifm.net system supports decision-makers in two ways:

with “Meters” for immediate intervention, or

with detailed reports.

Formatted reports

Besides providing a quick view to support continuous work, it is just as important to prepare professional, formatted reports. These reports can include several pages of texts and diagrams, but they can also be reports that only contain tables prepared, for example, for Excel to support further processing and analysis. Whichever type of report is made, in the archifm.net system they are always prepared using up-to-date data.

The basic installation of the system also contains a small number of reports, but in most cases users have individual demands. This is so natural that the archifm.net system can be customized not only by developers or by the user companies, but even by the client’s own specialists. In most cases new reports can be created in a simple way, at user level, or if something more is needed, then new reports can be added to the system easily.

The users’ daily work is supported by making pivot analyses, displaying changes and trends, or by reports based on complicated calculations. These need to be made only once, that is the software system needs to be told what we want to see, what filters we want and which data groups are affected. After creating them, the reports can be saved as templates and run later on with new data as required.
Formatted reports
The new reports are created always using new, updated data, which the users can restrict using filtering parameters for the data group they are interested in. Data analysis is not only performed on stored data, but calculations can also be carried out to obtain data that can form the basis of grouping or other analyses. At the bottom of the tables you can prepare summaries or averages, sorting conditions can be specified, and coloring depending on value limits or conditions is also possible.

Obviously while running the reports key information and valuable data may also be generated that can only be made available to authorized persons. To support this the entitlement management of the archifm.net system also extends to the visibility of the reports, and – in the case of appropriate preparation – the content of the reports automatically contains only those data groups the specific user is entitled to see.

In some cases the high calculation demand results in slow running during the preparation of complex reports and analyses. In such cases the system assists the user so that the server performs the necessary calculations in a timed manner, and then the result obtained is automatically sent by email to a previously specified list of recipients. Obviously, many calculations can be accelerated with database management “tricks”, but this is provided in the scope of individual customization, with developer involvement.
