Tenants are first of all managed on the basis of their contracts. The entire lease contract portfolio can be entered in the software together with all their data, validity, fees and other contract terms. On the one hand this data can be used for preparing reports and expiry warnings, while on the other hand they lease the premises and objects.
Lease handling in the archifm.net system does not simply relate to properties, but also to objects. Both premises and objects can be leased individually for different terms and in different lease proportions. In some cases certain premises can be leased by several tenants, divided between them (e.g. corridor, kitchen), or certain premises or groups of premises can be leased temporarily on the basis of previously determined contract terms (e.g. renting meeting rooms). The archifm.net software system can handle all special cases, and due to its flexibility it has been successfully used at numerous locations.
Operation costs occur during leases in connection with work performed, and the consumption data must also be divided among the tenants. While the costs related to operation services can be easily attached to the lease contracts, public utility invoices are divided specifically. They may be divided on the basis of a previously determined fixed amount, but also in proportion with area, or on the basis of data measured and accounted for precisely using sub-meters.
